Did You Know? – Call Flows w/ Backup Numbers

Call Flows let you guide leads to the exact team member or department they need to talk to.

They’re also great for gathering additional marketing data on the caller (what service they’re interested in, whether they’re a new or repeat customer, etc.).

But what happens when the call recipient doesn’t pick up? Sending callers to voicemail is a missed opportunity and round robin dialing isn’t a fit for every situation.

That’s where Call Flows with backup numbers come in.

These modified Call Flows let you set up contingency plans for missed calls and jump on leads before they hang up and call the competition.

Plus, setting them up in WhatConverts is a cinch.

Setting Up Call Flows w/ Backup Numbers

Setting up a contingency number in your Call Flow is easy, especially if you’re already familiar with how to create call flows in WhatConverts.

  1. Ensure you’re on the right plan. Call Flows are only available on Pro plans and higher. If you are not on a Pro plan or above, please upgrade your plan.
  2. Use the main navigation to get to the Call Flows section of WhatConverts (“Tracking” → ”Calls” → “Call Flows”).

  3. Select “+ Add Call Flow” to create a new Call Flow. Note: You can also edit existing Call Flows to insert a contingency number. Just select “Edit Call Flow” (small pencil icon) and skip to step 6.
  4. Name your Call Flow, select “Incoming Call Flow”, and choose the call flow template that’s right for your business. We’ll select “Basic Dial” for this example. Then select “Next Step”.

  5. Edit your first Dial Step using the edit button.

  6. Set up your first Dial Step—give it a name, choose how calls will be connected (direct, multi-ring, round robin), and enter your destination number.

  7. Important: Be sure your first Dial Step’s wait time (section 4) is shorter than how long it takes to reach voicemail.

  8. Change any other settings for this Dial Step and click “Save Changes”.
  9. Back on the Call Flow screen, click the “+” symbol after your first Dial Step. Then select “Dial”.

  10. Choose “Edit Step” and fill in your contingency number step information. This is where calls will go if the first Dial Step is not answered. Save this step’s settings and select “Finish” when your Call Flow is ready.
  11. Lastly, connect your new Call Flow to a tracking number by choosing “Tracking” → “Calls” → “Phone Numbers” from the main navigation, selecting “Edit Phone Number”, forwarding calls to “Call Flow”, and choosing your new Call Flow from the dropdown menu.
